What you need to know if you’re moving out on Move Out Weekend: April 25–April 28, 2025.

The information on this page is for residents whose contracts are ending in April 2025, and they are moving out between April 25 and April 28.

Thanks so much for living with us in residence at UBC this year! We hope that your final exams and assignments went well and that you’re looking forward to summer.

Make it a mindful move out

Don’t miss the five steps of the mindful move out—to help you avoid last-minute moving chaos and to ensure that rooms and shared spaces are left as clean as you’d want them if you were moving in.

Last day in residence: April 28

While many residents will move out earlier in April, once their exams are complete, some residents stay until the final days in their residence contract.

  • Last day in residence: April 28, 2025
  • Check out time: no later than 12 pm (noon)—please arrive by 11:30 am to ensure that you can complete the check out process by noon.

You must check out by this date and time, unless you have an approved residence contract extension (i.e., you are moving into Year Round residence).

Pro tip: Check out earlier in the morning to avoid the lineups!

How to check-out?

Follow these instructions to make your check out process as smooth and efficient as possible.

Your check-out to-do list

To complete the check out procedures, please ensure you do all of the following:

  • Remove all your belongings from your room/unit, including any bikes stored outside!*
  • Dispose of all trash, food and recycling—and anything you still need to donate at your nearest donation zone!
  • Clean your unit.
  • Close and lock all windows and doors.
  • Return your keys and check out—at your residence front desk or, during limited hours, at a centrally-located check-out table near your front desk or commonsblock.

Remember to bring all your keys! You’ll be charged a fee on your residence account for any keys you don’t return.

*Any bikes left behind at Winter Session residence areas are removed and donated to The Bike Kitchen.

Cleaning and departure checklists

When can I check out?

  • April 27 and earlier: check out during regular front desk hours, 7 am–11 pm. Please arrive at the front desk by 10:30 pm to ensure that you can complete the check out process before the front desk closes.
  • April 28: check out between 7 am and 12 pm (noon). Please arrive at the front desk by 11:30 am to ensure that you can complete the check out process by noon.

Given the high volume of final check-outs on April 28, please expect some lineups.

Can I check out overnight?

Please check out during front desk hours, 7 am–11 pm.

If you plan to leave overnight, when the front desk is closed, please check out before 11 pm—and you are welcome to remain in the commonsblock until you leave campus.

Can I borrow a luggage cart?

You can borrow a luggage cart for maximum 20 minutes, between 7 am and 11 pm, when the front desk is open.

To borrow a luggage cart:

  • Visit the cart check-out table near your residence front desk.
  • Leave one piece of Photo ID and your phone number.

Please note that carts will be in high demand.

Reminder to set up mail forwarding!

Before you move out, make sure to set up mail forwarding in the Online Service Centre. (Fairview Crescent residents: contact Canada Post to forward mail.)

Moving out with a vehicle?

If you will be using a vehicle to move out on April 28, follow the arrival instructions provided below to get to the correct loading zone for your residence area and/or building.

On April 28, we’ll also have helpful signage and friendly staff in place to help you find your way.

You will be able to temporarily park and load up close to the residence area (max 20 minutes), and then if you plan to stay on campus afterward, you will need to park at a nearby parkade, as indicated below.

Vehicle arrival instructions

Brock Commons and Iona House

Vehicles arriving to Brock Commons and Iona House should plan to enter Walter Gage Road from Wesbrook Mall. From there they will be directed by staff to the nearest loading zone.

Vehicles parking in loading zones around Brock Commons and Walter Gage Residences can only do so for up to 20 minutes.

If you need to remain on campus after loading your vehicle, you can move it to the North Parkade, which will have free parking from 8 am to 1 pm on April 28.

Exchange, tə šxʷhəleləm̓s tə k̓ʷaƛ̓kʷəʔaʔɬ and Walter Gage

Vehicles arriving to Exchange Residence and tə šxʷhəleləm̓s tə k̓ʷaƛ̓kʷəʔaʔɬ should plan to enter Student Union Boulevard from Wesbrook Mall. From there they will be directed by staff to the nearest loading zone.

Vehicles parking in loading zones around Exchange, tə šxʷhəleləm̓s tə k̓ʷaƛ̓kʷəʔaʔɬ and Walter Gage Residences can only do so for up to 20 minutes.

If you need to remain on campus after loading your vehicle, you can move it to the North Parkade, which will have free parking from 8 am to 1 pm on April 28.

Fairview

Vehicles arriving to Fairview Residence will only be able to enter via the South entrance to Fairview Crescent service road located off of Fairview Avenue, near the Acadia Park Commonsblock.

Vehicle traffic will not be permitted to enter from Agronomy Road.

Vehicles entering Fairview Residence will have 20 minutes maximum for loading.

Then, if you need to remain on campus after loading your vehicle, you can move it to the North Parkade or West Parkade which will have free parking from 8 am through 1 pm on April 28. Pay parking is also available at the nearby Thunderbird Parkade.

Fraser Hall

Vehicles arriving at Fraser Hall can temporarily park on Wesbrook Mall in the loading spaces directly in front of the building.

Vehicles parking in front of Fraser Hall will have 20 minutes maximum for loading.

Then, if you need to remain on campus after loading your vehicle, you can move it to the North Parkade or West Parkade, which will have free parking from 8 am to 1 pm on April 28. Pay parking is also available at the nearby Thunderbird Parkade.

Marine Drive

Vehicles arriving at Marine Drive should arrive as follows:

Vehicles parking at Marine Drive will have 20 minutes maximum for loading.

If you need to remain on campus after loading your vehicle, you can move it to the West Parkade, which will also have free parking from 8 am to 1 pm on April 28.

Orchard Commons

Vehicles arriving to Orchard Commons for loading can arrive at the B4 parking lot, across the street on Agronomy Road, which will have free parking from 8 am to 1 pm on April 28.

Vehicles parking in the B4 lot will have 20 minutes maximum for loading.

If you need to remain on campus after loading your vehicle, you can move it to the West Parkade, which will also have free parking from 8 am to 1 pm on April 28.

Ponderosa Commons

Vehicles arriving to Ponderosa Commons should drive south on West Mall, and then will be directed to turn right onto University Boulevard (one way traffic).

Vehicles parking outside Ponderosa Commons will have 20 minutes maximum for loading.

If you need to remain on campus after loading your vehicle, you can move it to the West Parkade, which will have free parking from 8 am to 1 pm on April 28.

Place Vanier

Vehicles arriving to Place Vanier should approach the residence area as follows:

Vehicles entering Place Vanier Residence will have 20 minutes maximum for loading.

If you need to remain on campus after loading your vehicle, you can move it to the Fraser River Parkade or West Parkade, which will have free parking from 8 am through 1 pm on Sunday, April 28.

Ritsumeikan-UBC House

Vehicles arriving at Ritsumeikan-UBC House should arrive at the main entrance to Totem Park off of West Mall. From there, they will be directed along a service road to the loading zone next to Ritsumeikan-UBC House.

Vehicles arriving at Ritsumeikan-UBC House will have 20 minutes maximum for loading.

If you need to remain on campus after loading your vehicle, you can move it to the West Parkade, which will have free parking from 8 am through 1 pm on Sunday, April 28.

Totem Park

Vehicles arriving at Totem Park should arrive as follows:

If you need to remain on campus after loading your vehicle, you can move it to the West Parkade, which will have free parking from 8 am through 1 pm on Sunday, April 28.

Thunderbird

The Thunderbird contract end date is April 30, 2025, but if you will be moving out with a vehicle on April 28, you will need to follow the designated signage and instructions of staff so that your vehicle can be directed to the correct loading zone for your residence area.

Vehicles arriving to Thunderbird Residence should plan to enter the residence area (i.e., Thunderbird Crescent) from Thunderbird Boulevard, since West Mall will be very busy with students moving out of Totem Park.

Vehicles arriving at Thunderbird will have 20 minutes maximum for loading.

If you need to remain on campus after loading your vehicle, you can move it to the West Parkade, which will have free parking from 8 am through 1 pm on Sunday, April 28.
