
Organizations can sponsor UBC students’ housing and meal plan fees. Sponsors must meet eligibility criteria and apply by the deadline.

Eligibility
Who can sponsor
Sponsors must be a government agency, company, Indigenous band or other organization. Individuals, parents or relatives cannot sponsor a student through this program. If a sponsor or third-party vendor reimburses fees directly to the student rather than paying UBC, this is not considered sponsorship.
How sponsorship works
Sponsors are invoiced each term for the costs they agree to cover and pay UBC directly for these fees. All sponsors must submit an online Student Housing Sponsorship Application for each student—or one application for a group of students who fall under the same sponsorship criteria.
Currency and exchange rates
UBC accepts payments in Canadian or US funds only. US funds will be converted to Canadian funds using UBC Finance’s daily exchange rate on the date we process the payment. We cannot use exchange rates provided by sponsors.
To avoid exchange rate discrepancies, send funds in Canadian dollars. When setting a sponsorship contract dollar limit, you can only set limits in Canadian funds.
Tax receipts
Following Canada Revenue Agency guidelines, sponsoring organizations must issue a T4A tax receipt to their sponsored students. UBC does not provide this document.
How to apply
Complete the Student Housing Sponsorship Application for each student you intend to sponsor—or one application for each group of students who fall under the same sponsorship criteria—by the deadlines below.
You can sponsor a student for as short as one term or for the entire calendar year.
If you support a student for one term and later want to continue the sponsorship, submit a new application. Contracts do not automatically renew.

Submit your sponsorship application by these dates. If you’re unable to apply before the deadlines, contact us.

If you plan to support your student(s) with tuition or other student-related fees, apply separately through the Sponsorship Billing office by their deadline.
Invoices and payments
When you’ll receive invoices
We invoice sponsors at the end of each term for the costs they agree to pay. If you’re covering multiple terms and require separate invoices in advance, indicate this request on your application form.
Making a payment
Paying by cheque is the preferred method for sponsorship funding. Other payment options are also available.
To pay by cheque:
- Make your cheque payable to “The University of British Columbiaâ€
- Enter the following information in the memo field
- Residence / meal plan fees
- Student’s full name
- Student number
- Mail your cheque to:

Information privacy
By entering into a sponsorship agreement, students agree to allow UBC to share limited information from their student housing account with you for the duration of the sponsorship.
Information that can be shared includes:
- student name and student number
- residence area and room type
- room fees
Any further student information, including exact address, cannot be shared with a sponsor unless the student has authorized you as a third-party.
Student academic information
If your sponsorship conditions include receiving updates on the student’s academic progress, transcripts or other documents, ask the student to send these directly to you. UBC cannot provide this information to sponsors.
