
Some UBC students have a portion of their housing and meal plan fees paid by a sponsor, such as an Indigenous community, employer or government agency. If you have a sponsor, this page explains what to expect and your responsibilities.

How sponsorship billing works
Student Housing will invoice your sponsor for the housing and meal plan fees they agree to cover, up to the coverage limit they specified.
Your sponsor(s) will receive an invoice after each term’s course change date that includes:
- Your name and student number
- Residence area and room type
- Room fees for the sponsorship period
Invoice delivery times
- Winter Session Term 1: mid-August
- Winter Session Term 2: mid-November
If your sponsor plans to support you with tuition or other student-related fees, they’ll need to apply separately through the Sponsorship Billing office by their deadline.
Your responsibilities
Confirm your sponsorship
You must complete the Sponsor Student Declaration to acknowledge that you’re entering into a sponsorship and understand your responsibilities. Complete this as soon as possible after your sponsor applies.
Understand your sponsorship agreement
Connect with your sponsor to understand the terms and length of your sponsorship agreement. Student Housing cannot co-ordinate this on your behalf.
You’re responsible for informing your sponsor of any changes to your situation that may affect your sponsorship level.

Pay fees not covered by your sponsor
You must pay any housing fees not covered by your sponsor by the deadline in your housing offer.
Please refer to your housing contract for penalties for unpaid fees. Contact Student Housing if you’re unsure about fees you owe.
Information privacy
Your student records at UBC are protected under BC’s Freedom of Information and Protection of Privacy Act (FIPPA), which means that the information you provide to UBC and information UBC has on file about your academic progress, conduct and wellbeing, and student housing information is not available to anybody other than you.
By entering into a sponsorship agreement, you’re agreeing to allow UBC to share limited information from your student housing account with your sponsor for the duration of the sponsorship.
Information that can be shared includes:
- Your student name and student number
- Residence area and room type
- Room fees
Further information, including your exact address, cannot be shared unless you’ve authorized your sponsor as a third-party.
